Administrative Assistant - Dubai, United Arab Emirates - EGMA Optical Supplies F.Z.
Description
Duties and Responsibilities:
- Serve as the initial point of contact for all office visitors, handling both Reception duties and administrative tasks in support of the EGMA Leadership Team.
- Maintain confidentiality and professionalism while assisting with sensitive requirements.
- Create wellcrafted communications, reports, presentations, and spreadsheets that meet companywide or top client standards.
- Manage professional calendars, schedule appointments, prepare meeting agendas, record meeting minutes, and coordinate logistics for larger events, such as booking conference rooms and catering.
- Arrange complex and often lastminute travel itineraries for multiple colleagues.
- Review, format, proofread, and prepare documents and presentations in accordance with EGMA's standards.
- Provide general administrative support, including printing, setting up Outlook calendars to track vacation and training, and establishing Outlook distribution lists.
- Support practice area initiatives, including preparing meeting agendas and coordinating with speakers.
- Maintain a tidy and presentable reception area, ensuring the availability of necessary stationery and materials.
Qualifications and Requirements:
- Proven experience as an Administrative Assistant, Front Office Representative, or in a similar role.
- Proficiency in Microsoft Office and Teams.
- Professional demeanor and appearance.
- Strong written and verbal communication skills.
- Resourcefulness and proactivity in problemsolving.
- Exceptional organizational skills.
- Ability to multitask and manage time effectively, with a focus on task prioritization.
- Customer serviceoriented attitude.
- Strong teamwork and organizational abilities.
- Sets a high standard of efficiency in task management, interpersonal interactions, and maintaining a professional office environment.
- Graduation from an Office management course or a related field is preferred.
Salary:
AED3, AED4,000.00 per month
