    Job Title: Executive Secretary to CEO

    Job Overview:

    We are seeking a highly organized and professional Executive Secretary to provide administrative support to our Chief Executive Officer (CEO). The ideal candidate will be adept at managing multiple tasks, possess excellent communication skills, and be capable of handling confidential information with utmost discretion.

    Responsibilities:

    • Calendar Management:
    • Coordinate and manage the CEO's schedule, including appointments, meetings, and travel arrangements.
    • Anticipate and prepare materials needed for scheduled appointments and meetings.
    • Communication and Correspondence:
    • Draft and proofread emails, letters, and other documents on behalf of the CEO.
    • Handle incoming calls and correspondence, directing them to the appropriate parties.
    • Meeting Preparation:
    • Prepare agendas, materials, and presentations for executive meetings.
    • Record and distribute meeting minutes, ensuring follow-up on action items.
    • Travel Arrangements:
    • Arrange domestic and international travel accommodations for the CEO.
    • Prepare travel itineraries and ensure all necessary arrangements are in place.
    • Document Management:
    • Organize and maintain CEO's documents, files, and records, both physical and electronic.
    • Ensure confidentiality and security of sensitive information.
    • Liaison and Relationship Management:
    • Act as a liaison between the CEO and internal/external stakeholders.
    • Cultivate positive relationships with key contacts on behalf of the CEO.
    • Event Coordination:
    • Assist in planning and coordinating company events, functions, and conferences.
    • Expense Management:
    • Manage and reconcile CEO's expense reports in a timely and accurate manner.
    • Research and Analysis:
    • Conduct research and compile information as requested by the CEO.
    • Provide summaries and analyses to facilitate decision-making.

    Qualifications:

    • Proven experience as an Executive Secretary, Executive Assistant, or similar role.
    • Proficient in office software and communication tools.
    • Exceptional organizational and time management skills.
    • Strong written and verbal communication abilities.
    • Discretion and confidentiality in handling sensitive information.
    • Ability to multitask and prioritize effectively.
    • Bachelor's degree or equivalent work experience.
    • English communication skills is a must.
    • Arabic communication skills is a plus.
    • Preferably with own visa
