- Calendar Management:
- Coordinate and manage the CEO's schedule, including appointments, meetings, and travel arrangements.
- Anticipate and prepare materials needed for scheduled appointments and meetings.
- Communication and Correspondence:
- Draft and proofread emails, letters, and other documents on behalf of the CEO.
- Handle incoming calls and correspondence, directing them to the appropriate parties.
- Meeting Preparation:
- Prepare agendas, materials, and presentations for executive meetings.
- Record and distribute meeting minutes, ensuring follow-up on action items.
- Travel Arrangements:
- Arrange domestic and international travel accommodations for the CEO.
- Prepare travel itineraries and ensure all necessary arrangements are in place.
- Document Management:
- Organize and maintain CEO's documents, files, and records, both physical and electronic.
- Ensure confidentiality and security of sensitive information.
- Liaison and Relationship Management:
- Act as a liaison between the CEO and internal/external stakeholders.
- Cultivate positive relationships with key contacts on behalf of the CEO.
- Event Coordination:
- Assist in planning and coordinating company events, functions, and conferences.
- Expense Management:
- Manage and reconcile CEO's expense reports in a timely and accurate manner.
- Research and Analysis:
- Conduct research and compile information as requested by the CEO.
- Provide summaries and analyses to facilitate decision-making.
- Proven experience as an Executive Secretary, Executive Assistant, or similar role.
- Proficient in office software and communication tools.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Discretion and confidentiality in handling sensitive information.
- Ability to multitask and prioritize effectively.
- Bachelor's degree or equivalent work experience.
- English communication skills is a must.
- Arabic communication skills is a plus.
- Preferably with own visa
