    Description

    Key Responsibilities Of TheAssurance Officer

    • To work with Information Asset Ownersand the Data Protection Assurance and Reporting officer to learnmore about how information assets are used in their respectiveareas, and identify key trends
    • Attend localteam meetings to share updates provided by the Data ProtectionOfficer, or Data Protection Assurance and ReportingOfficer.
    • Following local team meetings providefeedback from the local teams, or pass on advice requests to theDPO or Data Protection Assurance and ReportingOfficer
    • Provide support to the InformationAsset Owners in relation to their quarterly assurance reportingobligations e.g. reminding them of reporting timescales, directingthem to where they can gather appropriate evidence, supporting withinformation gathering
    • Acting as a conduitbetween the relevant business areas and the Data ProtectionAssurance Officer to identify when a Data Protection ImpactAssessment (DPIA) might be necessary and provide appropriateadministrative support within the DPIAprocess
    • Scheduling meetings with the relevantbusiness areas
    • Support the Data ProtectionAssurance and Reporting Officer with coordinating internal dataprotection audits e.g. diary planning, evidence gathering, emailcommunications
    • Meeting support to includetaking minutes and action points
    • Maintain theInformation Asset Register for each business area on a regularbasis, as directed by the Data Protection Assurance and ReportingOfficer, Data Protection Officer, or Information AssetOwners
    • Review process mapping for each businessarea, flagging change where necessary to check that they are stillaccurate and reflective of current business processes, this will bedone in co-ordination with the businessareas
    • Adhere to the IOPC data quality, recordsmanagement, data protection & information managementprinciples, to ensure information is safe, secure, and sharedappropriately.
    • Working closely with the otherAssurance Officer to share knowledge, update on ongoing tasks andworkload
    • Working with the rest of the FOI& Data Protection Team to document feedback in relation toinformation requests receivedexternally/internally
    • Travelling to other IOPCoffices/ alternative locations may be required withnotice.

    Person SpecificationsFor The Role

    • Good level of education, educated toat least GCSE standard or equivalent
    • Excellentwritten and oral communication skills
    • Abilityto work under pressure and prioritise tasks, working to strict andconflicting deadlines
    • Demonstrates high levelof attention to detail and an ability to workaccurately
    • Proven experience of workingeffectively in a team environment
    • Good Level ofICT skills and facility with IT systems and applications includingMS word, Excel, and Power Point, SharePoint and experience usingcase management systems.
    • Excellentinterpersonal skills, including tact, discretion, and someexperience of liaising with representatives from externalagencies
    • Experience in data protection orinformation management.
    • Previous involvement inchampioning or supporting behaviourchange
