- Oversee the day-to-day operations of facilities, including maintenance, security, and cleanliness.
- Coordinate and schedule routine maintenance activities to ensure optimal functioning of all systems and equipment.
- Manage vendor relationships and contracts related to facility services.
- Ensure compliance with health and safety regulations, implementing policies to create a safe working environment.
- Conduct regular safety inspections and risk assessments, addressing any issues promptly.
- Coordinate and optimize the utilization of office space, considering the needs of various departments.
- Collaborate with relevant stakeholders to plan and execute office layout changes as needed.
- Assist in the development and management of the facility services budget.
- Monitor expenses, identify cost-saving opportunities, and ensure efficient resource allocation.
- Develop and maintain emergency response plans and procedures.
- Conduct regular drills and training sessions to ensure staff is prepared for emergency situations.
- Develops, establishes, and controls the methods, procedures, and systems to facilities utilization and management for any type of space management, staff moves or shifts, and furniture and equipment related matters within the building by coordinating with the business units, IT and internal or external parties.
- Develop and coordinate plans for facilities projects, schedules work projects, monitors work in progress, inspects finished projects and evaluates project performance.
- Liaise with internal departments and external partners to address facility-related issues.
- Communicate effectively with employees and management regarding facility updates and changes.
- Maintain accurate records of facility-related activities, including maintenance logs and service contracts.
- Generate regular reports on facility performance and areas for improvement.
- Capable of delegation and acting as backup for the line manager for all related duties as assigned by line manager.
- Bachelors degree in Management, Business Administration, Project Management or a related field.
- Proven 5-8 years of experience in facility management or a related role.
- At least 5 years of experience in UAE.
- Knowledge of UAE regulations and standards related to facility operations.
- Knowledge of budgetary practices and principles.
- Knowledge of space utilization and facilities management.
- Knowledge of supervisory practices and principle
- Proficient in MS Office and facility management software.
