    Description

    Summary:

    Aproperty Coordinatorisresponsible for providing support to the Property Management Teamwith regards to Site Condition Management, Stakeholder and Suppliermanagement, Risk & Regulatory Management, Project Revenue& Financial Management, Administration & Reportingand Occupancy & Lease



    Responsibilities:


    Site& PropertyManagement:

    • Coordinateswith FM & service providers for
    • Ensuresthat PPM certificates are maintained and carried out as per theschedule
    • Coordinatesthe reviewing of drawings with FM -fitouts
    • Dedicateall kind of
    • Ensurethe quality of our Signage as per the ;
    • Notifysupervisors of any anomalies or discrepancies that relate to the
    • Manageall move in/out on

    HSE& FinancialManagement:

    • Supportsthe Property Manager in procurement activities
    • PreparesRAQ/RAP s and the supportingpaperwork
    • Ensuresthat all contracts are
    • Informsthe Property Manager of contract expiry 120 days prior to the enddate of thecontract
    • Followsthe procurement policy at all
    • SendInvoices & collect
    • Remindon payment
    • Ensuresthat all HSE documents are maintained and up to date and thecorrect follow up is beingfollowed
    • Ensuresall tenants HSE documents and reports are up to date and follows upas appropriate
    • Detectshealth and safety breaches and reports them
    • Assiststhe Property Manager in the preparation of the annual firedrill
    • Assiststhe Property Manager when preparing incident reports, HSE reportsand fire drillreports
    • Ensuresthat all documentation pertaining to compliance is maintained andup to date at all times

    Leasing&Occupancy:

    • Preparesoffer tolease
    • Preparesschedules of condition
    • Preparesall supporting paperwork related to new leases
    • Ensuresthat all KYC forms are signed and the correct information issupplied
    • Crosschecks all information registered in the KYC documents andcorresponding paperwork
    • Coordinatesthe signing of leases
    • Ensuresall related paperwork accompanies leases (compliance documentation,payments, acknowledgmentforms)
    • PreparesEjari contracts
    • Prepareslease renewal notices
    • Coordinatesviewings
    • Followsup on fit out status
    • Uploadsand maintains lease documentation on the software

    AdministrationandCommunication:

    • Ensuresall documents are maintained using the correct software
    • Ensuresall tenant related documents are maintained on the correct softwareand in their respective hardware;
    • Ensuresall documents are submitted on time for each document run
    • Ensuresall paperwork is accompanied with the correct forms acknowledgmentforms, request forms
    • Responsiblefor ensuring that the correct information in input in the monthlyreport
    • Ensuresthat the report is submitted on time
    • Ensuresthat the weekly reports have up to dateinformation
    • Ensurethe scheduling of matters are sent on a weekly;
