- Register and transmit internal,vendor and client documentation for theproject.
- Check documentation to ensure thatformats comply with company and clientstandards.
- Archiving Project and CorporateRecords, either hardcopy or electronically; and the identification,indexing, transfer, storage, protection, retrieval, retention anddisposition of the records.
- Ensure all projectdocumentation is imported into document management system and filedaccordingly
- Ensure all documentation istransmitted to the client as per client requirements and in anexpedient manner
- Archiving and retrieval ofhistorical documentation
- Assist and provideassistance to Wood personnel with respect to any documentmanagement system queries
- Quality check of allDocumentation prior to issuing/transmitting toclient
- Responsible for the handling of requestsfor new Document numbers/hard copydocumentation
- Scanning, printing and copying ofproject documentation
- Process and recordaccurately all technical documentation in accordance with agreedprocedures
- Ensure that hard copy and electronicrecord files as required are maintained in good order to complywith QA requirements
- Run document controlreports (if available and required) from the applied company orproject document control system.
- Ensuredocument management procedures satisfy project, client andregulatory requirements
- Independently handleall aspects of Project documentation utilizing various documentcontrol practices and Electronic Document Management Systems(EDMS)
- Monitor progress of in-house and Clientreviews of technical data
- Contribute tocompilation of final project dossiers, as built portfolios andarchiving
- Establish a systematic andcomprehensive Project Filing System
- Produceexception reports, comment overdue reports and any other reportsfor Project Management Review
- Minimum Diploma
- Knowledge of MSOffice
- Knowledge ofSharePoint/Documentum/ProjectWise or similar electronic documentmanagement system.
- Knowledge ofAdobe
- Communication skills - both written andverbal
- Skills in word processing, spreadsheets,database applications and electronic data managementsystems
- Excellent organisational skills and alogical and ordered approach
- Effectivecommunication and interpersonal skills
- Strongteam player
- Ability to work in a high -pressure environment, pay strict attention to detail and ensure theaccuracy of the outputs
