    Description

    Policies, Systems, Processes &Procedures

    • Lead theeffective implementation of Procurement Department policies,procedures and controls covering all areas of assigned departmentactivity so that all relevant procedural/legislative requirements,fulfilled while delivering a quality, cost-effectiveservice.

    Continuous Improvement

    • Lead the identification ofopportunities for continuous improvement and sustainability ofsystems, processes and practices considering global standards,productivity improvement and cost reduction.

    Job SpecificResponsibilities

    ProcurementSupport

    • Follow theprocedures established by the procurement section, managingsuitable precise procedures for logging procurement informationonto the system, to maintain a high level of quality, ensuringaccuracy of recording and filing.
    • Build robustpartnerships and business relationships with current and potentialsuppliers and service providers to ensure that obtains the bestcombination of benefit and cost.
    • Review andidentify variances or deviations in contract performance, reportingnonconformities to the procurement section to take correctiveaction, minimizing all possibledisparities.
    • Maintain the documents, files, andcontracts in the Document Control office under safe custody withoutany damage or deterioration with easytraceability.
    • Ensure that procurement needs,requirements and relevant product specifications from the involveddepartments are properly captured.
    • Assist inconducting frequent evaluations of the vendors prices, reliability,adherence to the contractual agreements and undertake necessaryactions.
    • Confirm registered and pre-qualifiedsuppliers are evaluated and assessed to meet internal performancetargets and criteria.
    • Supervise the continuousreview of pending orders that have met or overrun their originaldelivery date to expedite delivery while keeping procurementsection informed.
    • Prepare and review purchasingfiles, reports and price lists, comparing prices, specifications,and delivery dates to determine the best bid among potentialsuppliers, maintaining a database of all relevantdata.
    • Check shipments upon arrival, to ensurethat orders have been filled correctly and that goods meet thedesired specifications and are in good conditions, accepting orreturning the order accordingly.
    • Reviewrequisition orders to verify accuracy, terminology, andspecifications.
    • Gather purchasing requirementsfrom other functions, ensuring clarity and proper documentation,determining if inventory quantities are sufficient for needs,ordering more materials whennecessary.
    • Calculate costs of orders, andcharge or forward invoices to appropriateaccounts.
    • Analyse vendor performance based onthe inputs of contract and achievement of the contract obligationsto identify the most suitable vendors for any potential workinvolvement in the future.

    Awareness Support

    • Preserve awareness of marketdevelopments in purchasing techniques, product technology andsupply market activity to stay up to date, identifying andexploiting commercial opportunities.
    • Maintainknowledge of all organizational and governmental rules affectingpurchases and provide information about these rules to theprocurement team and to vendors, to stay informed and up to dateregarding any changes that mightoccur.
    • Contribute to the effective resolutionof complex purchasing problems with an appreciation of thecost-effectiveness of solutions.
    • Liaise withthe Legal function to ensure that all purchasing related processesand documents are in line with the applicable legal framework tobest protect interests.

    Qualifications AndExperience

    • Bachelors degree in BusinessAdministration, Finance, Legal or any other relatedfield.
    • 8 years of relevant experience in SupplyChain, with focus onProcurement.
