    Reporting to theGroup Director of Sales, responsibilities and essential jobfunctions include but are not limited to the following:

    • Telephones - Assist with answeringtelephones within three rings for the Sales Office and directingcalls appropriately.
    • Leads - Assist the Salesteam by monitoring all lead sources and distributing leads to theappropriate Sales Executive.
    • Preparereports.
    • Assist in maintaining an accurateclient database in Opera and adherence to all Accor and Fairmontstandards.
    • Coordinate with reservations,revenue, and the front office to ensure proper guest service isoffered. Follow up on requests, enter rooming lists, and updateaccurate information in the system.
    • Provideadministrative support to the Sales Team, including merging lettersof agreement and distribution of all event orders andresumes.
    • Participate in hotel and salestraining programs when applicable.
    • Maintaincurrent sales and promotion literature.
    • Providesupport to Specialists in Sales asappropriate.
    • Train in all Specialist tasks toassist as necessary and assist in training peers on job duties todevelop a strong cross-trained team.
    • Attendmeetings, take minutes, and draft notes asrequired.
    • Have a complete knowledge of hotelservices and accommodations.
    • Approach allencounters with guests and employees in a friendly,service-oriented manner.
    • Ensure prompt andcourteous service is extended to internal and externalcustomers.
    • Comply at all times with hotelstandards and regulations to encourage safe and efficient hoteloperations.
    • Maintain high standards of personalappearance and grooming, adhering to the proper dresscode.
    • Preparing Contract drafts &ensuring that it is updated with new inquiries (Rates, OPT,Supplements, etc).
    • Create Ramadan and Hajjsheets and share them with all concerned to ensure a clear view ofthe situation.
    • Create the blocks according tocontracts.
    • Follow up payment & roominglists.
    • Create the GNS for each group &communicate it with the concerneddepartments.
    • Communicate any extra charges withthe TA & ensure that it has been finalized on theOPT.
    • Communicate with finance for pendingpayments.
    • Update the Opera system on a dailybasis (check rates and inventory).
    • Communicatewith revenue for updated rates &availability.
    • Checking the group's PMsclosing according to the contracts.
    • HandlingGroup operations with the FO and F&Bteams.
    • Updating agents' profiles in thesystem (delete duplicate profiles).
    • After-salescalls to ensure everything is in order with theagent.
    • Weekly report for the group'sproduction (Rev, RN).
    • Contact new leads forregular Markets.
    • ISR communication and businesshandling.
    • Other duties as assigned.

    Qualifications

    • One year of experience in the Operasystem is required.
    • Computer literate inMicrosoft Office applications and or relevant computer applicationsrequired.
    • University/College degree in arelated discipline is required.
    • Excellentcommunication skills, both written and verbal,required.
    • Strong interpersonal andproblem-solving abilities.
    • Highly responsible& reliable.
    • Ability to focus attentionon guest needs, remaining calm and courteous at alltimes.
    • Flexibility in workinghours.
