    Facilities coordinator - Dubai, United Arab Emirates - Duserve

    Description

    • Maintain the confidentiality ofall aspects of client and employee information. Provide support tothe maintenance team in raising and closing active requests andscheduled work requests within the servicedesk.
    • Use the service desk system to raisepurchase orders and process associated invoices that are posted asneeded.
    • Evaluate situations and events (e.g.involvement of other employees, public, etc.) for the purpose oftaking appropriate action and/or directing them to the appropriateperson for resolution.
    • Interact withemployees, customers, suppliers and visitors. Open, sort anddistribute responses to correspondence containing routineinquiries.
    • Provide support to the FacilitiesManager in maintaining supplier matrices and associateddocumentation. Perform general clerical tasks including, but notlimited to, photocopying, faxing, mailing, styling, andfiling.
    • Provide support to the FacilitiesManager in maintaining training matrices/records and documentationrelated to return to work/self-certification. Arrange and maintaininventory in connection with the provision of facility managementservices.
    • Maintain a variety of records,supplies, calendar, schedules, files, etc. Maintains records(confidential and non-confidential), general clerkships, andspecial programs (e.g. tabulating, copying, fax, etc.) for thepurpose of supporting the assigned official with necessarymaterials.
    • Process documents and materials(e.g., bid packages, contracts, specifications, purchase orders,mail, etc.) for the purpose of disseminating information inaccordance with program, county, state, and/or federalrequirements.
    • Respond to inquiries from avariety of internal and external parties (in person and bytelephone) (e.g., employees, auditors, other department heads,etc.) for the purpose of providing information, facilitatingcommunication between parties, and/or guidingdirection.

    Qualifications:

    • Bachelor's degree or equivalent in mechanical, electricalor industrial engineering.
    • Internationally orlocally recognized membership in an organization ofengineers.
    • Possess a valid driving license inthe United Arab Emirates.

    Knowledge, skill andability:

    • Skills required to perform multipletasks, with the need to upgrade skills periodically to meetchanging working conditions. Skills-based skills required toperform job functions satisfactorily include operating standardoffice equipment including use of related software applications;Apply program and district policies and procedures; Planning andproject management; Prepare and maintain accuraterecords.
