    Cluster Groups Coordinator - Dubai, United Arab Emirates - Accor

    Description
    • Responsible for the sales andmanagement of all group bookings of 7 rooms or more that do notrequire catering (with the exception ofbreakfast).
    • This also includes the managementof PCO group blocks relating to inventory, payment and group setup,where that group does not includecatering.
    • Handle enquiries for group bookingsvia fax, email or phone during the shift, communicate immediately,and provide a reply or confirmation within a reasonable timeframe(24 hours).
    • Handle any other department issuesrelated to groups (follow up on prepayment, routing,vouchers)
    • Preparation of group informationsheets (group movements) and briefing of all involved prior toarrival of group.
    • Manage Hotel inventory inrelation to group reservations and monitor potential wash ofbusiness.
    • Produce reports and statistics asrequested by the Revenue Team. This will include, but is notexclusive to, Group Wash and Business Turndown reports and 3-monthGroup Forecasts.
    • Manage Group payments,cancellations, rooming lists and terms andconditions.
    • Maintains a precise filing systemfor all Group reservations andcorrespondence.
    • Ensure a prompt input ofreservations and data for the next 3 month period for all groupenquiries & bookings (within 24hours).
    • Handle guest complaints and enquiriesin an efficient and professional manner and ensure the Revenue /Sales / Operations Teams are informed of any guestfeedback.
    • Ensures a clear line of communicationwith other departments for special requests or otherreservation-related matters.
    • Clearcommunication with all staff in relation to all group relatedtopics.
    • Ensure VIP and complimentary room nightprocedures are adhered to.
    • Ensure Accor brandand company standards are implemented andupdated.
    • Ensure security and safety proceduresare updated and implemented.
    • Promotes andmaintains good public relations with PCO's, travelagents, airline companies and commercial organizations and solicitsbusiness for the hotel.
    • Promotes positiveworking environment by developing positive teamspirit.
    • Setup of confidential contracts andagreements
    • Other duties asrequested.
