- GeneralAdministrative Support:
- Providesadministrative/secretarial support to the SVP/VP and his teammembers.
- Greet and host guests and officevisitors with courtesy and respect.
- Maintains ahard copy or electronic calendar for the responsibleSVP.
- Follows Hill International Standard Officeand Projects Document Control Procedure. Collects reviews anddistributes incoming hard copies and electronic mail. Independentlyhandles mail not requiring the SVPs attention. Review incoming andoutgoing correspondence for accuracy and format outgoing documentsthat require the SVP/VPs signature.
- Coordinatescomplex travel arrangements.
- Photocopyingscanning and filing documents.
- Prepares copiessubmits and files expense reports usingVantagePoint.
- Process vendors invoices incoordination with the FinanceDepartment.
- Performs other administrativeassignments as required.
- Be part of theOperations/Admin Team whenneeded.
- Front DeskOperations:
- Answering phones and routingcalls.
- Maintaining office fax machines copymachines and printers.
- Managing the officedrivers schedule e.g. organizing daily pickup drop off and documentdeliveries.
- Arranging for courier pickup asrequired.
- Ordered office and kitchen suppliesand coordinated the delivery.
- Using excellentinterpersonal skills communicate with various levels of companystaff and management visitors clientsetc.
- OfficeOperations:
- Assisting with event/meetingplanning.
- Coordinating and (when necessaryperforming) the cleanup and organization of theoffice.
- Degree inoffice management or equivalent from a technicalinstitute.
- Excellent command of written andspoken Arabic and English.
- I am proficient inMS Office Suite Word Excel andOutlook.
